Wedding Get-Away Services

 

Purpose:

To ensure seamless and professional transportation for couples at the end of their wedding event.

Procedure

  1. Preparation Before the Event

    1. Verify Details: Confirm the wedding date, time, venue, and specific instructions from your DriverAnyhwre app once you are assigned the job and before the event.

    2. Research: If you are unfamiliar with the venue or locations, map your route, study in advance, if you need to see the venue, contact Dispatch and notify them, and ask any questions you have to ensure you are fully prepared well before the service takes place.

    3. Contact Information: Ensure you have the contact details of the wedding planner or point of contact (POC).

    4. Vehicle Readiness: Ensure the vehicle is clean, fueled, and stocked with any required items (e.g., water).

  2. Arrival at the Venue

    1. Early Arrival: Arrive 30 minutes before the scheduled pick-up time. Your spot tim should allow you to do this.  If you find that is not the case, alert Dispatch and adjust your time accordingly.

    2. Initial Check-In: Upon arrival, text and/or call the planner to inform them of your arrival and confirm the staging area.

    3. Preferred Communication: Many planners prefer a text over a call. Respect their preference.

  3. Staging the Vehicle

    1. Locate the Main Entrance: Try to stage the vehicle as close to the main entrance of the venue as possible.

    2. If uncertain about the main entrance location, seek confirmation from the planner.

    3. Default Staging: If the planner is unreachable, choose the area that appears to be the main entrance.

    4. Visibility: Position the vehicle in a visible location for easy access by the couple.

  4. Communication with the Planner

    1. Confirmation: Confirm with the planner where they would like the vehicle to be staged.

    2. Backup Plan: If unable to reach the planner by phone or text, take the following steps:

      1. Walk around the venue and try to locate someone in charge.

      2. Go inside the venue if necessary to find the planner or an authoritative figure.

    3. Learn: Ask the planner if there is anything special you should know.

  5. Picking Up the Couple

    1. Professionalism: Greet the couple warmly, assist with any belongings, and ensure they are comfortably seated in the vehicle.

    2. Adhere to the Quiet Car Policy

      1. This is likely the couple’s first time alone all evening.  Let them enjoy each other’s company.

    3. Discreet Presence: Avoid drawing unnecessary attention; remain discreet and professional

Emergency Situations

  • Planner Unreachable: If the planner’s phone is dead or they do not have reception, take initiative by seeking out someone in charge at the venue.

  • Assistance: If any issues arise, contact the office immediately for guidance.

Additional Notes

  • Always maintain a professional demeanor and appearance.

  • Ensure the couple feels special and valued during their get-away experience, while still working within the confines of the Quiet Car Policy.

  • Flexibility and adaptability are key to managing unforeseen circumstances.

  • Use good judgment and take preventative action to ensure you successfully provide the reserved service.

By following this SOP, chauffeurs will provide a high-quality, reliable, and professional service that ensures the couple’s wedding day ends on a perfect note.
